Attach a Bluetooth tag to each key ring and install the app — you're live in under an hour. Automatic check-in and check-out, a full audit trail, and no subscription fees.
No technician visit. No fixed hardware. Just three steps and your keys are tracked.
Stick a small Bluetooth tag to each key ring. Each tag has a unique ID and a durable printed number for visual reference.
An admin scans each tag in the app once and gives it a name — "Front Door", "Vehicle Fleet #1", whatever fits. One-time per key. Staff don't need to do anything.
Staff and contractors download Tracklet on iOS or Android and create an account with a verified email address. Verification anchors the audit trail — and an optional phone number lets admins contact whoever holds a key.
Keys are automatically marked In or Out when the app detects a tag. At that moment, the phone's location is recorded as the key's last-seen position. Nothing to do.
Each Tracklet tag is a compact Bluetooth beacon that clips onto any key ring. A quick one-time enrolment assigns each tag to a key — after that, tracking is fully automatic.
Tracklet replaces clipboards, spreadsheets, and manual sign-out books with automatic, always-on digital custody.
Staff just carry their phones. The app detects nearby tags and records sightings automatically — no tapping, no scanning, no sign-out steps. Tracklet follows iOS and Android platform guidelines for background activity, so it won’t drain your battery.
As staff move around the site, the app logs the phone's location each time it detects a tag — if the phone reports one. That gives you a picture of where a key has been, without any continuous tracking or background location monitoring.
Define a home zone around your site. Keys are automatically marked In when nearby and Out when away — no manual check-in required.
Use the built-in Bluetooth proximity view to locate a specific key within a room — follow the signal strength to find it fast.
Every staff member verifies their email on sign-up and can add an optional phone number. Every key action — check-in, check-out — is tied to a confirmed account, and admins can reach the key holder directly when needed.
Manage multiple sites from a single account. Each site has its own home zone, key register, and custody log.
No monthly billing, no per-user charges, no lock-in. Pay for your tags upfront — the app and cloud platform are included. Tags are simply replaced every 3–4 years.
Every check-in and check-out is logged automatically. Search and filter by key, staff member, or date — so you can answer any custody question in seconds.
Whether you're running standalone, using a manual key board, or already on an electronic cabinet — Tracklet fits in and adds value from day one.
Tracklet is your complete key custody platform — no hardware installation, no wiring, no subscription. Attach tags, install the app, and you're live in under an hour.
Keep your key board. Add digital accountability on top — automatic sign-in/out, location captured at each event, and a full audit trail. No paper logs, no manual sign-out steps.
Your cabinet manages secure storage. Tracklet picks up the moment a key leaves — recording who took it and the location at that point, then logging when and where it comes back.
Any organisation that stores and manages physical keys — whether on a key board, in a key room, or across a fleet — can replace manual processes with Tracklet today.
Track master keys, contractor access keys, and tenant copies across multiple properties. Know who has what — automatically.
Eliminate lost key incidents. Give administrators real-time visibility of every key on campus without changing how staff work.
Meet custody and audit requirements with an affordable, scalable solution. Works standalone or alongside existing cabinet infrastructure. Verified accounts mean every action is attributed and auditable.
Track vehicle keys, equipment keys, and access credentials across your team. Know where every key is at any moment.
Manage master key sets, utility room keys, and staff access keys without a dedicated key room attendant or manual log.
Need complete key accountability without a major infrastructure investment? Tracklet is the complete solution — up and running with no hardware installation.

No. There is nothing to mount, wire, or install at the site. The only physical component is a small Bluetooth tag attached to each key ring. The rest is a mobile app and cloud software.
When a staff member carries a key outside the home zone, the app detects the tag and automatically marks it as Out, recording the phone's location at that moment. That location is stored as the key's last-seen position. Tracklet does not continuously track location — it only captures a location snapshot at each possession event (check-out or check-in).
No. Tracking is completely passive. Staff just carry their phones as normal. The app detects nearby tags in the background and updates key status automatically — no scanning, no tapping, no manual log entries. Tracklet follows iOS and Android platform guidelines for background Bluetooth activity, keeping battery impact to a minimum.
Detection speed depends on the phone's platform and whether the app is in the foreground or background.
When the app is open (foreground): Both iOS and Android scan for BLE tags continuously and detection is near-immediate — typically within a few seconds of a tag coming into range.
When the app is running in the background (screen off or a different app open), the operating system limits BLE scan activity to preserve battery:
For key custody purposes this is the right trade-off. Staff carry a key for minutes or hours, so a detection lag of one to two minutes has no practical impact on the accuracy of check-in and check-out records. Tracklet records where the keys are and who has them — it just doesn't need to do so in real time. A location that is a minute or two old has proven more than accurate enough to know where a key is and get it back quickly if needed.
Each staff member creates an account using a verified work email address and sets a display name. A phone number is optional — staff can add one to make it easy for admins to contact them directly if a key is needed urgently. The email is used to confirm identity and anchor the audit trail. No government ID or biometric data is required or stored.
Each tag lasts approximately 3–4 years under normal use. When a tag expires, you simply replace it with a new one — all key labels, history, and site associations carry over. Replacement tags are available at the same price as new tags.
No. Tracklet uses a Hardware as a Service model — you pay once for the tags and the app and cloud platform are included at no extra cost. There are no subscription fees, per-user charges, or ongoing billing. You pay again only when tags are replaced at the end of their 3–4 year life.
Yes. Tracklet extends digital custody beyond the cabinet — covering the period when keys are outside the cabinet and out of the office. It works as a complement to any existing cabinet system, adding out-of-cabinet visibility without replacing or modifying the cabinet.
Tracklet uses compact BLE 5.0 beacons with up to 50 m of indoor range and a 3–4 year battery life. Each tag has a unique ID and a printed number for visual reference. The built-in loop fits any standard key ring, and tags are water-resistant and built for daily key ring use.
